Poly Grad Night Committee 2011-2012

Positions Available for 2011-2012

We are looking for volunteers to fill ALL the OPEN positions for the 2011-2012 school year.

Job Descriptions


Monthly meetings are about one hour in length

President (senior or underclass parent):
• Coordinates and oversees all Grad Night Committee planning
• Completes legal paperwork including contracts, insurance, and non-profit status
• Liaisons with event site management and with Poly High School administrators
• Facilitates monthly Grad Night meetings
• Maintains and updates procedure book
• Attends Grad Night and oversees all aspects of the event
• Time Commitment: Approximately 15 hours plus meetings and Grad Night event

Recording Secretary (senior or underclass parent):
• Keeps meeting minutes and distributes copies to President and all committee members
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 12 hours plus meetings

Treasurer (senior or underclass parent):
• Works with President to set overall budget
• Keeps accurate records and submits monthly reports
• Handles banking and deposits all monies from ticket sales, fundraisers, cash donations, etc.
• Writes checks to various vendors
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 12 hours plus meetings

Ticket Sales Coordinator (preferably underclass parent):
• Responsible for selling tickets or coordinating the activity at each of the events where Grad Night tickets are sold such as senior registration, cap & gown distribution, graduation practice, etc.
• Performs all data entry required for ticket information
• Maintains records of all parent/student consent forms and monies received
• Handles monies and prepares bank deposits from ticket sales
• Checks with the Poly banker each month (September through May) to collect any payments & consent forms
• Recruits volunteers for selling and/or distributing tickets
• Oversees selling and distribution of tickets at Vets Stadium after graduation ceremony
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 45 hours plus meetings and Grad Night event

Design and Printing of Tickets (senior or underclass parent):
• Responsible for designing, printing, and preparing Grad Night tickets and map of Camelot by the May meeting
• Maintains and updates procedure book
• Must attend May planning meeting
• Time Commitment: Approximately 3 hours plus meetings

Transportation Coordinator (underclass parent):
• Secures buses for transportation from/to Vets Stadium to/from Camelot Golfland
• Recruits volunteers and trains them on check-in procedure
• Oversees check-in at Vet's stadium after graduation ceremony and coordinates all aspects of check-in and transportation to and from event
• Returns to Vet's Stadium on Thursday morning to greet buses (or has a representative) and stays until all students have left
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 12 hours plus meetings and Grad Night event

Entertainment Coordinator (senior or underclass parent):
• Responsible for coordinating all the entertainment for Grad Night, finalizing contracts, providing security deposits, paying vendors on the night of the event and ensuring that the vendors are placed in the proper location for maximum exposure and enjoyment for the students
• Recruits volunteers if necessary
• Attends Grad Night (or has a representative) to oversee that the entertainment runs smoothly
•Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 8-10 hours plus meetings and Grad Night event

Decorations Coordinator (underclass parent):
• Responsible for decorating Camelot Golfland on graduation night
• Responsible for removal of all decorations at Camelot at end of event
• Maintains and updates procedure book
• Recruits volunteers to assist in decorating
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 10 hours plus meetings and Grad Night event

Chaperone Coordinator (senior or underclass parent):
• Recruits volunteers to chaperone at Grad Night event – this includes both senior and underclass parents as well as Poly staff
• Works with Transportation, Ticket Sales and Decorations coordinators to secure volunteers to make sure there are no overlaps in volunteering
• Maintains volunteer list with phone & email contacts
• Attends school events to recruit volunteers
• Attends Grad Night event to coordinate volunteers
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 30 hours plus meetings and Grad Night event

Event Volunteers (senior or underclass parent):
• Checks in volunteers graduates at Camelot 9-11pm on Grad Night (underclass parent)
• Attends Grad Night event and volunteers on-site 10pm-4am [Usually in 2, 4 or 6 hour blocks]

General Volunteers (senior or underclass parent):
• Volunteers at various events held throughout the year to promote Grad Night and sell tickets

Website Coordinator (senior or underclass parent):
• Responsible for updates and web design on the Grad Night web site
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 2 hours in the summer to update website for the school year and then 1/2 hour a month for updating, plus meetings

eScrip, Supermarket Rewards & Ink Cartridge Coordinator (senior or underclass parent):
• Oversees and manages promotion of eScrip and Supermarket Rewards Program (Vons & Ralphs)
• Oversees and manages promotion of collection of inkjet cartridges, laser toner cartridges and cell phones at Poly
• Keeps accurate records and submits monthly updates and reports
• Submits checks to treasurer
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 12 hours plus meetings

Fundraising Coordinator (senior or underclass parent):
• Coordinates all fundraising activities for the committee including securing volunteers, vendors and merchandise.
• This also includes coordination of collecting money for parking at Vets Stadium for selected events: i.e. football games or graduation [This was how Grad Night earned money from 2007-2011, but may not be available in the future]
• Keeps accurate records and submits monthly reports
• Submits money to treasurer for deposit
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 30-40 hours plus meetings and Grad Night event

"Class of" Merchandise Coordinator (senior or underclass parent):
• Responsible for receiving orders for merchandise
• Provides funds to treasurer for ordering
• Distributes merchandise to customer
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 8-10 hours plus meetings

Corresponding Secretary (senior or underclass parent):
• Responsible for writing solicitation letters to businesses to ask for donations and/or grant monies
•Sends thank you letters to all donors
• Provides correspondence as the committee deems necessary.
• Maintains and updates procedure book
• Attends monthly Grad Night meetings
• Time Commitment: Approximately 8-10 hours plus meetings

First Aid (senior or underclass parent):
• Attends Grad Night event to oversee minor medical complaints
