Monthly Socials
As a group, we have chosen to get together twice monthly. In January, we meet for our only "official" meeting of the year. During this meeting, we schedule all of our activities and lunches that we want to have for the upcoming year.
Each month, we get together for an outing such as a lunch and a movie, or whatever we voted to do. Our second gathering is a luncheon social. For each month's luncheon social, 2 ladies have volunteered to be the hostess for that event. As the hostess, you have full authority to plan whatever you want to do. You can plan a catered meal, prepared lunch, or potluck at the clubhouse, host a lunch in a home or at a park, or plan a lunch at a restaurant...it is YOUR option.
Hostess': This is your party and there are no perameters. If you think of it and want to do it...you can. Just let us know what, when, where, and what to bring. You plan it...And we will come.
Guidelines For Hostess Responsibilities:
In Home Lunch Social Option:
1. Plan what you want the ladies to bring.
2. Call Queen Cynthia and let her know that we will not be needing the clubhouse so I can cancel our reservation.
3. Notify the ladies of when, where, and what to bring.
Catered, Prepared, or Potluck Option:
1. Plan and organize the event.
2. Decide the location IE: clubhouse, their home, park, etc.
We have the clubhouse reserved in advance for our luncheons. If we are not going to use the clubhouse, then Queen Cynthia needs to be notified so we can cancel our clubhouse reservation.
3. Plan the meal and let the ladies know what is needed in the way of food. If lunch is catered, then let everyone know the cost of the meal.
4. Hostess' are responsible for providing plates, cups, silverware, napkins, drinks, serving utensils, (and decorations if needed or wanted). Hostess' are NOT responsible for bringing any food.
5. Responsible for setup and clean up, and anything else that needs to be done.
Restaurant Option
1. Call the restaurant and ask if they can accomodate a large group for lunch.
2. Ask if reservations are needed. If yes, then make the reservation.
3. Visit the restaurant and "scope it out" so to speak. Pre-arrange with the manager where we will be sitting and request one long table versus several individual tables.
4. Ask if the restaurant will issue individual checks.
5. If the restaurant will not provide seperate checks, the hostess' are responsible for collecting the money from the ladies and providing change. I recommend the hostess' have several $1 and $5 bills on hand for just this purpose.
6. Let the ladies know where we are meeting for lunch. Remind each lady to bring small bills and a dollars worth of change so they can hopefully give you the exact amount due.
7. Provide table decorations if desired.
