Dear PTO Volunteers, The PTO Executive Board values your enthusiasm to lend assistance! We are currently interested in finding any PTO parents who would love to recruit new Business Partners within our community for Westmont Elementary. The only requirement we have is that those who volunteer will have a passion for, and be very comfortable in recruiting business partners. Any request letters on the Westmont letterhead and of course our non-profit tax identification number will be supplied as needed. Minutes from the Executive Board Meeting March 11 2009 The meeting was called to order by Dana Rawlins. Items Discussed: Final arrangements were made by the board for the Dinner on the Grounds event to be held on Friday evening, March 20th at 6p.m. Deborah Steele, the Hospitality Chairwoman, will order and pick up the cans of soda donated to Westmont by Pepsi. Mrs. Flowers will order and pick up the cookies that will be provided, and the PTO board has agreed to pay for them. In the past, the teachers were all required to bring in packs of cookies. The board decided on the date of the Limo/Lunch ride for the Coupon Book Fundraiser. Approximately 30 students will attend this year. Westmont raised $4,000 from the Coupon Book sales! This amount remained the same from last year, which was really encouraging in light of the tough economy. The date of the ride will be Friday, April 3rd from 11 a.m. to 1 p.m. Mrs. Burton and Mrs. Hooker will be the two faculty members that will attend for WES, and Marian, Kris and Dana will be the PTO representatives on the ride. Jenni will call and make the arrangements with CCI. Jenni McIntire gave the Treasurer’s Report. PTO has $34,300 in the account. Several requests for disbursement were discussed at the meeting: The Kindergarten teachers requested that PTO pay for the AR bracelets that they will give out. The request was approved. The Kindergarten teachers informed the board that they would like to receive the Scholastic Readers to give out to their students instead of the Weekly Readers. The reason they wanted to make the switch was that the stories and the activities followed the curriculum that they use more closely than the Weekly Readers do for the Kindergarten grade level. Mrs. Flowers will look into seeing that the Kindergarten level is dropped from the Weekly Reader order (WES PTO will continue to pay for the Weekly Readers for grades one through five) and Mrs. Burton was given permission by the board to pursue purchasing the Scholastic Readers for the Kindergartners of WES, which PTO will also pay for. The Second grade teachers requested that PTO pay for the supplies for them to host a Luau party for the students that met their AR goals. The request was approved. PTO was asked if the board would be willing to pay for gardening materials (pine straw and plants) needed to spruce up the inner courtyards of Westmont. The cost will be approximately $250. The request was approved. The teachers of Westmont asked if PTO would be willing to purchase a new microwave to replace the one that is not working in the Teacher’s Lounge. The board approved $100 to go toward the purchase of a new microwave. Mrs. Flowers gave a report on the cost of the replacement of the curtains in the cafeteria. The cost will be approximately $5,300. The board decided to table the proposal to take time to think on it before giving an approval. The curtains would not be able to be replaced in time for the 5th grade graduation this year; instead, it would be done over the summer. Dana Rawlins gave a report on the fundraiser surveys. There were 141 responses to the survey, and the overall response was positive. In order of preference, the Coupon Book sales came in first as the most popular fundraiser, while the Silent Auction came in second, followed by the Cookie Dough sales, and the Fall Fundraiser came in last. The board will take this into consideration when planning the fundraising activities for the next school year. Dana reported that there were several comments on the surveys to have activities next year that are school community builders, such as Family Movie Nights at Westmont. These activities would not be big fundraisers, but would go a long way in building the sense of family among the teachers, staff, parents and students. The board agreed to look into doing some of these activities next during the next school year. The Teacher Appreciation Luncheon was discussed. The luncheon will be held before the Official Teacher Appreciation week due to the date of the WES Spring Fling. The date is April 17th, and it will be held in room 408 on the 5th grade hall. The board will look into contracting Mi Rancho to cater the meal again, since there was such a good response to last year’s luncheon. Time did not allow for the board to discuss the plans for the Spring Fling, so a planning meeting was set up for Tuesday, March 17th at 4 p.m. in the Media Center. The meeting was adjourned by Dana Rawlins. |
Box Tops and Ink Cartridges Corner I have completed going through all of the ink cartridges that were donated last school year. We will receive just over $30 - $30.55 to be exact if my calculations are right and they accept everything I mail in. On another note, the last shipment of Box Tops, mailed last week, will get us an additional $423.30. That puts our total for the year at $1,341.80. I’m posting our goal for the 2009-10 year at $1,600. Let’s work together to reach it! Thanks to all of you for your support throughout the year. I really appreciate it!
