Westmont Elementary School PTO Minutes of the Executive Board Meeting May 10, 2011 President Kris Finlay called the meeting to order and the following items were discussed:
  • Final plans were made in regards to the Fifth grade graduation program on Thursday, May 19. Mrs. Flowers will pay for the muffins and danishes for the morning breakfast, while PTO will be responsible for picking them up. Corsages for Mrs. Flowers, Mrs. Romero and Mrs. McElmurray, as well as the balloons used to serve as table decorations for the breakfast, will be paid for by PTO.
  • Board members agreed to pay for any balance remaining between monies collected and the cost of the Fifth grade field day slide and inflatables. The total cost of the rentals is $293, however, money collected from the students will also be used to offset food costs.
  • Discussions were made in regards to next yearˇ¦s spirit shirt. The board agreed to go with a black shirt and incorporate the slogan "Be Your Best" or "Be the Best You Can Be". Next year is Westmont's 40th anniversary and discussion was made in regards to possibly incorporating that in the design.
  • Treasurer Shannon Jones, Secretary Deborah Steele and President Kris Finlay shared ideas they gathered from other PTO boards during a recent roundtable at Riverside Elementary School. They discussed having a Popcorn Friday once a month, with students having the option to purchase a bag for 50 cents. Popcorn would then be given to the students to eat during their recess time.
  • Final earnings from the school's May 6th Spring Fling at Adventure Crossing were not immediately available, but the consensus is that this year's turnout was slightly less than last year. Board members said the best way to spread the word and encourage students to attend is through teachers talking up the event.
  • Shannon Jones reported that to date, $882 has been earned through the Staples Ink Cartridge Recycling Program. Vice President Kristen Bowers said she thought it would be a good idea to check with the school's business partners to see if they would be willing to donate their used ink cartridges to the school.
  • Deborah Steele reported that she would like to see a Box Tops collection sheet go home with report cards so that students will be encouraged to collect Box Tops during the summer. This year, the school earned just under $1,500 through the Box Tops for Education program. More Box Tops will be submitted in June to increase this total to approximately $1,900.
  • The school's fall fundraiser will kickoff on Aug. 25, 2011 and run through Sept. 8, 2011. Deliveries will be made around Oct. 11, 2011. The consensus among the board was to conduct the cookie dough fundraiser with the fall shopper catalog.
  • Shannon Jones noted that the school will enter into a Spirit Night agreement with Chick-fil-A during the upcoming school year. The spirit nights will be held quarterly... Sept. 1, 2011, Dec. 1, 2011 and March 1, 2012. The school will also sell "Cow" calendars for $6 each in the fall, with half of the sale price - $3 going to the school.
  • Additional fundraiser ideas were discussed. Among them were Bayside Treasurers, a collection of bath soaps and lotions, for a possible spring fundraiser to coincide with Mother's Day and a candy bar fundraiser in lieu of the CCI coupon book fundraiser. The belief is that more people are willing to make an impulse purchase of $1 for a candy bar as opposed to $10 for a coupon book. No decision was made in regard to these additional fundraisers, as more details are needed before moving forward.
  • Mrs. Romero informed the board that the Bear Paws Incentive Program will undergo a slight change for the 2011-12 school year. As this change is implemented, students will earn bear paws, much like AR points, to spend for various rewards. The board agreed to fund this program up to $1,000.
  • Kris Finlay adjourned the meeting.
