Hillsboro Mothers Club Meeting Minutes February 17, 2011


Meeting opened at 9:00 am with the Pledge of Allegiance and welcoming the following members in attendance: Valerie Moreland, Debbie Naggi, Holly Stinson, Adrian Matlock, Kristy Stephens, and Cherri Meador. Board members present Pearl Lanz(Treasurer) with Cindy Maynard(Secretary) available upon request.


The January meeting minutes were read with Debbie Naggi motioning to approve the minutes and Valerie Moreland seconding. With all those in favor, the motion was passed. The treasurer’s report was read and noted that a refund was made from the fundraiser bringing the ending balance to $13,485.41, with a spendable amount of $11,365.41. A motion was made to pass the treasurers report by Valerie Moreland and seconded by Holly Stinson. With all those in favor, the motion passed. Various thank you's, birthday's and attendance prizes were given.


New Business:


1. Teacher of the Year – The Mothers’ Club will have 2 representatives on the panel (Cindy Maynard and Sherri Moore). A request was made for a contribution to the Teacher of the Year dinner and it was agreed that a $35 gift card to B&B Theatres would be donated.


2. Fundraiser Update – A refund was made in the amount of $1,145.50 for a total fundraiser deposit of $10,411.75.


3. Sweets for Staff – It was decided to withhold sweets for staff due to low fundraiser amounts and that it was more important to funnel more money directly to the students.


4. Donation for Schools – Because of the total amount to spend, it was decided to request that each school send a wish list for how those dollars are to be spent. It will be up to the Mothers’ Club’s discretion to approve. Valerie Moreland will update the request letters and Adrian Matlock will drop them off to the individual schools. We will hold off writing any checks until the letters are returned. If not request is made, the donation amounts will be earmarked for next year. The following donations were voted on and passed.


Primary – Debbie motioned to pass a $2,500 donation. The motion was seconded by Holly Stinson and passed.


Elementary – Valerie Moreland motioned to pass a $1,700 donation with $300 being deducted for the climbing wall already made. The motion was seconded by Debbie Naggi and passed.


Intermediate – Cherri Meador motioned to pass a $2,000 donation. The motion was seconded by Valerie Moreland and passed.


Jr. High – Holly Stinson motioned to pass a $500 donation with $500 being deducted for the archery equipment already made. The motion was seconded by Valerie Moreland and passed.


High School – A donation of $500 was made with the understanding that the donation was already used for the drunk goggles in the amount of $524.00.


Alternative School – Debbie Naggi motioned to pass a $100 donation. The motion was seconded by Cherri Meador and passed.


5. BOGO – A request was made by Ms. Gillam at the Elementary for the Mothers’ Club to run the Spring bookfair. After discussion, it was noted that we would not be able to manage the fair, but would be happy to donate our time in volunteering. (There was no news on the Intermediate bookfair at the time of this meeting.)


6. Scholarships – Cindy Maynard noted that the paperwork is in the office at the High School with a deadline of May 2, 2011.


7. Primary Remedial Reading – A request was not made at the time of this meeting, but will be updated in the future when necessary.


8. Summer School – No information was obtained and it is still undecided as to the future of the summer school program. More information will be noted when necessary.


9. New Club President – No nominations were made at the time of this meeting. Holly Stinson will take into consideration the duties of the President and consider it over the next couple of months.


Meeting adjourned at 10:40 a.m.. The next meeting date is March 10th at 9am in the Bus Depot.
