Executive Board and Committee Function Descriptions

Executive Board:

President/Co-President
Presides over all Executive Board and General PTA meetings.  Acts as a liaison between Cobbles and the parent association., School Board and other Penfield School PTAs.  Creates monthly meeting agendas and writes President's Letter for the Cobbles Comment.  Helps to oversee the PTAs committees' and budget planning needs.

Vice President:
Provides assistance to President/Co-Presidents.  Attends monthly PTA meetings and coordinates and communicates with the committee chair people.  Keeps a timeline of all PTA sponsored events that occur throughout the school year. If possible, this person would move up to President/Co-President the following year.

Secretary:
Recording and Correspondence Attends monthly PTA meetings and records proceedings of the meeting; presents the minutes for approval at the following month's meeting.  Distributes copies of the minutes as needed, submits for inclusion in next edition of Cobbles Comment.  Generates 'Parent Resources' column for Comment once monthly (to alternate with Presidents' Message).  Writes and sends thank you notes on behalf of the PTA.

Treasurer:
The authorized custodian of all funds for the PTA. Some of the day to day responsibilities include accurate record keeping, paying authorized bills and depositing funds timely. Monthly responsibilities include preparing budget reports for the PTA meetings and reconciling the bank accounts. Annual duties include filing the tax return, preparing audit reports and being actively involved in preparing the budget for the following year. It is also expected that the Treasurer will regularly review all monetary activity within each account and provide support for PTA sponsored events.

Assistant Treasurer:
Provides assistance to the Treasurer. If possible, this person would move up to Treasurer the following year.

Committee Chairs:

School Pictures:
Organizes and oversees the Fall student, staff and class photographs. The position includes meetings and phone calls with the portrait studio (early Spring and once in summer) and contact with the school office staff in order to determine and organize a schedule for picture taking (early Spring).  Other responsibilities include sorting and distributing flyers to students, scheduling volunteers for assistance during picture day (September), and attendance at both picture day and retake day (September and October).

Chess Club:
Organizes and implements a ten week after school Chess Club for grades 1 - 5, generally held during winter months and ending before spring sports.  The position includes meeting and working with a Teacher Representative and school office staff, designing and distributing registration forms to students, seeking out and organizing parent volunteers.  Other responsibilities include collecting registration forms and organizing classrooms of students, communicating with teaching staff regarding chess club classroom dates and classroom assignments, organizing weekly snacks, attendance lists and sign out lists for dismissal.  Attendance at the weekly club is necessary and knowledge of Excel is helpful.

Reading Program:
Organizes and implements a reading incentive program accessible to all students, with the goal of encouraging children to develop an appreciation of reading as a recreational activity. The focus should be on reading done outside of normal school hours.  Participation by students is optional, and any tasks, assemblies, or incentives should infringe on normal school activities as little as possible.  The position includes planning with committee members, assigning tasks based on skills, interest, and time availability.  Planning generally begins in late spring/early summer with the program kickoff happening in October and extending through January, however, this is flexible and the length of the program is optional.

Membership/Volunteer Coordinator:
Promotes PTA membership of parents, teachers and community members throughout school year. The position includes maintaining membership, volunteer and email DL spreadsheets to be distributed to pertinent committees, completing and distributing membership cards, collecting and submitting due payments to treasurer and NYS PTA.  Other responsibilities include updates of membership totals at PTA meetings, contacts with region membership chair regarding membership questions and additional forms and cards, and assisting with the recruitment of volunteers for various activities through the school year.

5th Grade Moving Up Ceremony:
Organizes ceremony for the 5th grade students to take place at the end of the school year.  The position includes scheduling a date and time for the ceremony with input from 5th grade teachers and school calendar availability, as well as assigning tasks and organizing volunteers to help with food, decorations, t-shirts, slide show, program and memory book.

Cobbles Yearbook:
Plans and implements the organization of the school yearbook, The yearbook is a school wide book featuring school portraits of students from all grade levels as well as photos from events throughout the year, such as classroom and school activities, field trips, and school related or PTA supported cultural and community events. The position includes taking lots of photographs at school events throughout the year and organizing other parent volunteers to do the same, meetings to discuss progress of the yearbook and cover design, constructing layouts using the online application, overseeing the sale of the yearbook and assisting with the distribution in June.  Commitment begins in September and runs through most of the school year.

Gardening Committee:
Responsible for keeping up school flower beds and flower pots at the entrance of the school throughout the school year. The position includes weeding, watering, planting and contacting grounds crew for mulching and access to water. Beds are prepared in early spring and annuals planted in late spring.  Other responsibilities include coordinating a summer volunteer schedule to maintain the beds throughout the summer, plant fall flowers, trim perennials and remove pots after frost.  Should be energetic and love to garden.  Some knowledge of plants is desirable, but not necessary.

Cobbles Comment:
Prepares and edits the bi-weekly PTA newsletter. Sets deadlines for publication, compiles articles from staff and PTA Committees, handles the layout and proofing and distributes via hard copies or email lists.

Fundraising:
This is the major source of PTA income for the majority of programs. Responsibilities include meeting with fundraising company representative, publicizing the event, distributing fundraising catalogs and material, collecting orders and sorting for distribution/pickup.

Kindergarten Buckets:
Assembles and distributes buckets of informational and welcoming materials to our incoming Kindergarten students.

Kindergarten Welcoming:
Provides a small "reception" of treats and play time on school playground just before the start of school to welcome kindergarten students and their parents.

Bulletin Board:
Maintains and updates the PTA Bulletin Board in the front hallway of the school building to communicate PTA activities in a fun way.

Cobbles Community Builders:
Helps to bring the Cobbles families together through various school wide community building events to occur throughout the school year. Activities have included Fall and Spring Craft Days, Movie Nights, Family Game Nights, etc.

Box Tops/Campbell's Soup Labels:
Coordinates the information to parents, collection, cutting, counting and submission of box tops and soup labels.

LOTE (Languages Other Than English) Club:
Organizes and oversees a six week after school club for grades - 5, generally held during the spring.  The position includes meeting and working with school office staff to coordinate available rooms for the club, designing and distributing registration forms to students, seeking out and organizing parent volunteers to instruct or assist in the classroom or with pickup.  Other responsibilities include collecting registration forms and organizing classrooms of students, communicating with teaching staff regarding chess club classroom dates and classroom assignments, organizing weekly snacks, attendance lists and dismissal procedures.  Attendance at the weekly club is necessary and knowledge of Excel is helpful.

School Directory:
Organizes and produces a private-use-only directory containing student names, addresses and phone numbers for school wide distribution.

Cobbles PTA Website:
Maintains the Cobbles PTA website. Collects information on all the important things happening in our school and community to post and provides access to flyers and paperwork used by the PTA via links on the site.

Science Night:
Organizes and promotes a Science Night for students and their families to attend.

Ice Cream Social:
Responsible for planning, promoting and orchestrating the school wide Ice Cream Social at the end of the school year.

Seasonal Display:
Responsible for seasonal decorations to be hung in the front lobby of the school.

TV Turnoff Week:
A program used to encourage all students to turn off the TV (and computer games) for one week. The position includes for organizing activities to occur during National TV Turnoff week (mid April), getting students involved and providing incentives.

Staff Appreciation:
Organizes special appreciative acts for staff during Teacher Appreciation week in the spring.  This could include but is not limited to ideas such as having the children bring in flowers and expressions of appreciation in writing, decorating the teachers' lounge, etc.  This position also includes organizing a special appreciation breakfast or luncheon for the staff on the last day of their school year. 

Teacher Raffle:
Works with a teacher to organize a raffle of offerings from the staff to students. Organizes the gathering of raffle items, the promoting of the raffle as well as the sale of the raffle tickets before school hours.  Coordinates the announcement of the raffle winners and delivery of prizes.

Room Representatives:
Distributes the information regarding Room Representatives and assigns interested parents to classroom teachers. Organizes a Room Parent Tea in the beginning of the year for teachers and Room Reps to meet.

Cobbles Handbook:
Revises the handbook that is distributed school wide at the beginning of the year.

Arts in Education Parent Representative:
Works in conjunction with the Art Teacher and Band Teacher to: - book performers for school-wide assemblies through Young Audiences of Rochester (YAR) - assist with the Square One art fundraiser - help with the annual, district-wide Arts-In-Education Festival held each spring

Cobbles Red Wing/Rhinos Night:
Coordinates date with Sports Club, manages advertisement of even in Cobbles Comment and flyers to be sent home to families. Other responsibilities include the handling of pre-ticket sales and acting as a liaison on the day of the event.

Make a Difference Day Food Drive:
Coordinates with local charity or food shelf needs. Communicates advertisement of requested items/needs via Cobbles Comment.  Responsible for sending flyers home as well as email blasts to PTA members Cobbles staff.  Arranges volunteer assistance the collection and delivery of goods.

Square One Art:
Assists the Art Teacher with the Square One Art fundraiser. Responsibilities include handling the distribution of materials to families, collection and distribution of orders placed.
