    EVERYTHING YOU EVER NEEDED TO KNOW TO HOST A CONVENTION OR MEETING OF THE DAUPHIN COUNTY VOLUNTEER FIREMEN'S ASSOCIATION.

    HOW TO HOST A CONVENTION

  • The annual convention is held the first Friday following the first Saturday of June. The schedule for the convention meetings is as follows:

    Registration - 11:00 a.m.
    Meeting - 12:30 a.m.
    Memorial Service - 4:00 p.m.
    Banquet/Meeting - 5:30 p.m.
    Shirt Tail Parade (optional) - 8:00 p.m.
    Convention Dance (optional) - 9:00 p.m.

  • A Convention Parade (also optional) is held on Saturday usually starting at 2:00 p.m.

  • The host is reimbursd $2,000.00 by the Association to help cover expenses.

  • Following are the Questions that will be used at the May Executive Board Meeting:

    1. Place of Meeting

  • a. Need 3 tables at registration
    1. Financial Secretary
    2. Credentials Committee
    3. Merchandise Sales
  • b. Need 4 parking spots
  • c. Need Sergeant of Arms
  • d. Ballots if needed

    2. Memorial Service

  • a. Location of Service
  • b. Need Trumpter
  • c. Need Organist
  • d. Memorial Program
  • e. Flowers

    3. Meals

  • a. Location
  • b. Identification for meal
  • c. Menu

    4. Shirt Tail Parade (if any)

  • a. Time
  • b. Form area
  • c. Route

    5. Any additional Friday night information

    6. County Convention Parade

  • a. Time & Length of Parade
  • b. Parking spot for Reserved
  • c. Where do Executive Committee meet
  • d. Number of Executive Committee riding
  • e. Refreshment area
  • f. Parade Route
  • g. Registration for Equipment
  • h. Staging for Equipment
  • i. Reviewing Area

    The host companies for the convention shall be responsible for the front cover of the yearbook. Give a brief 5 to 6 pages of history. If more than one company is host it is still a total of 5 to 6 pages of history, the companies will have to decide for themselves how they will divide the pages. The year before the convention at the cost of $90.00, the host company may advertise on the back page of the yearbook.


    WHAT YOU NEED TO KNOW ABOUT HOSTING A BOOSTER MEETING

  • The Booster Meetings are held the second Friday of September, December, and April at 8:00 p.m. Attendance at the Booster Meetings is usually between 40 and 75 members. The meeting usually lasts about 2 to 2-1/2 hours.

  • The host provides a place for the meeting to be held and refreshments to be served prior to the meeting. The meeting room should have a head table with 5 seats.

  • The host is reimbursed $250.00 by the Association to help cover expenses.
    WHAT YOU NEED TO KNOW TO HOST AND EXECUTIVE COMMITTEE MEETING

  • The Executive Board Meeting is held the second Friday of August, November, March, and at Convention Headquarters in May. The Executive Board consists of all Elected officers and the Executive Committee.

  • The host Company provides a place for the meeting to be held and refreshments prior to the meeting. The host Company is reimbursed $100.00 by the Association to help cover cost.

  • Attendance at the meeting is 15 to 25 people. The meeting usually lasts about 1 to 1-1/2 hours.
